Candidatul Ideal
We are building a new department that owns the entire guest experience — from the departure airport, through the tour, to the resident service at the destination. You will be the organizational backbone of this department: the person who keeps documents, settlements, schedules and information flowing between Bucharest and our teams working thousands of kilometers away, across seven destinations in the winter season and a distributed team of residents and tour leaders.
This is a role for someone who wants to grow into travel operations
What we are looking for:
- 1–3 years of experience in an administrative, coordination or back-office role — travel, hospitality or logistics background is a plus, not a requirement
- Excellent organisation and follow-through: this role is about closing loops, not opening them
- Comfortable with numbers and documents — you will reconcile settlements and spot discrepancies
- Very good English (written and spoken); additional languages a plus
- Confident user of Excel/Google Sheets; experience with any reservation or CRM system is a plus
- Calm under seasonal pressure: July–August and the winter exotic season are intense

Settlements and documentation
Collect, verify and process tour guide and resident settlements after each trip: advances, receipts, excursion sales reports, payroll inputs
Chase missing documents and reconcile discrepancies before month-end close
Track operational invoices and supporting documents from receipt through approval and submission to Finance, including follow-up on payment status or any discrepancies
Maintain the department's contract database: resident and guide agreements, DMC contact sheets, insurance documents
Season logistics support
Support Destination Service Manager with destination preparations
Book flights, accommodation and transfers for staff travelling to destinations (training stages, season starts, inspection visits)
Keep the season calendar up to date: rotations, arrivals and departures of staff, handovers between destinations
Information flow
Prepare the weekly department report from resident and guide inputs (sales, incidents, complaints) in a single standard format
Route guest complaints to the right owner and track resolution deadlines
Maintain the department's shared drive, templates and procedure documents so the current version is always findable
Ad hoc
Support recruitment logistics in the pre-season period (interview scheduling, document collection from candidates)
Cover urgent operational communication
