Purpose of role
To organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety.
To ensure the smooth running of an office on a day-to-day basis and cooperation with the team of administrative or support staff.

Main responsibilities

Organize and schedule meetings and appointments
Cooperation with external partners, clients, suppliers and co-workers
Support of HR activities - preparation documentation related to employment relationship, keep tracking of medical check - ups and holidays entitlement, submit requests for A1 forms and coordinate the process with local authorities, preparation of documents related to posted workers and foreign projects
Support in recruitment processes
Calculation of payroll components – meal tickets, daily allowances, bonuses and allocation to project costs if necessary
Issue of invoices to the customers based on contracted and delivered documentation
Allocation of invoices submitted by the suppliers
Support and cooperation with accountancy departments – prepare and send input data for payroll and for other accountancy activities (e.i. invoices)
Preparation payments of payroll lists and daily allowances
Preparation of payments in Unicredit system
Checking of payments done by credit cards
Preparation of EHS, HR, Cash Flow reports based on company’s rules
Preparation of other reports requested by local or regional managers – e.i. weekly bank balance report, revenue forecast report
Support Management in relation to local law provisions

Experience and qualifications requiredEssential
Proven at minimum 3 years office management, administrative or assistant experience
Knowledge of office management responsibilities, systems and procedures
Excellent time management skills and ability to multi-task and prioritise work
Written and verbal English communication skills
Computer skills, proficient in: MS Office
Knowledge of accounting, data and administrative management practices and procedures
Knowledge of human resources management practices and procedures
Knowledge of business and management principles
Driving licenses “B”
