Purpose of the Role:

As a Back-Office Assistant, you will provide support to the leaders in order to maintain the highest quality standard.

What you need to succeed:

University degree in a technical or economic field
Fluency in English (written and spoken).
Advanced computer literacy, excellent command of MS Office (Word, Excel) and Outlook
Exceptional analytical, time management, communication skills and strong understanding of customer service practices.

Experience in administration, back-office, contracting, procurement activities and high-volume office work.

Knowledge of SAP is a strong plus.

High level of business ethics and teamwork.

Main Responsibilities:

Collaborating with New Installation Supervisors/ Sales Representatives/ Service Managers.
Communicating and collaborating constantly with Service Technicians / Fitters to fulfill customer demands.
Registering new clients for New Installation and updating internal IT systems.
Providing support and collaborating with either the Sales team in daily activities and managing customer requests, or in preparing service and repair offers based on Service Manager input.
Preparing the necessary documentation for participating in tenders.
Following up on new equipment or repair orders, ensuring timely delivery, and gathering customer feedback.

Tracking orders for new equipment intended for installation or for spare parts.
Managing client relations regarding contract execution.
Tracking invoice issuance and client payments according to agreed deadlines.
Preparing reports upon the manager's request.
