For our client, world leader in secure connectivity solutions for embedded applications, we are recruiting an Administative Assistant.
Organizing internal events (e.g. workshops, meetings, teambuildings);
Liaising with suppliers for catering;
Greeting and directing guests to the appropriate person or office;
Arranging travel and accommodations when necessary;
Registering hardware equipment in the internal inventory data base;
Maintaining security and performing related tasks like set-up ID badges and guests passes;
Managing calendars and scheduling meetings;
Managing meeting rooms and monitoring their availability;
Ensuring meeting rooms are presentable and fully stocked;
Ofering assistance with onboarding new employees, such as setting up office space;
Ordering front office supplies and keeping inventory of stock;
Purchasing weekly protocol products;
Receiving sort and distributing daily mail/deliveries;
Answering screen and forward incoming phone calls;
Providing basic and accurate information in-person and via phone/email;
Performing other clerical receptionist duties such as filing, photocopying, transcribing and faxing;
Ensuring reception area is tidy and presentable.
