Job responsibilities:
- Manage and maintain databases and filing systems to ensure accurate and organized record-keeping.
- Oversee cost budgeting processes, regularly checking the kilometers (kms) rates and tracking additional transport-related expenses.
- Book and record extra costs such as fines, parking tickets, waiting hours, bridge tolls, and other incidentals related to transport.
- Book and verify costs from external purchase invoices, ensuring proper documentation and allocations.
- Prepare and process daily and weekly invoices for external clients, ensuring timely billing.
- Conduct daily checks and close transport trips, verifying trip details and documenting outcomes accurately.
- Support administrative processes related to CMRs, ensuring compliance and proper handling of documentation.
- Offer ongoing support in resolving complaints and issues raised by carriers and customers promptly and professionally.
- Assist in the administration of training activities, ensuring proper documentation and coordination.
- Conduct regular file reviews and closures, aiming to improve the quality and completeness of transport files.
Summarizing, the challenge of this role involves interaction with drivers, dispatchers and transport companies in different countries within Europe, being multitasking and accurate in verifying, informing and providing proper solutions to operational matters.
