Job Description
• Manage entry administration, including offers, employment contracts, and work permits;
• Coordinate new-starter readiness, ensuring the workspace, computer and equipment, mailbox, and appropriate software are prepared for the employee's first day;
• Handle termination and exit documentation in collaboration with external vendors;
• Prepare, manage, and administer personnel files for active and inactive employees, keeping them up to date in line with local law and corporate requirements.
Employee time management & payroll
• Manage and monitor the time-tracking system, ensuring attendance, working hours, overtime, and leave records are accurate and up to date;
• Verify and validate timekeeping data, resolving any discrepancies in a timely manner;
• Coordinate the monthly payroll process in collaboration with the payroll provider/finance team, ensuring accurate and timely salary payments;
• Prepare and provide the necessary payroll input (e.g. new hires, terminations, changes in compensation, bonuses, deductions, and absences);
• Ensure payroll compliance with local legislation and internal policies, and address any payroll-related queries from employees.
Compliance & HR governance
• Ensure all relevant HR policies, procedures, and guidelines are implemented, followed, and aligned with legislative requirements;
• Ensure compliance with local law, employee rights, and the company's code of conduct;
• Safeguard the integrity and confidentiality of HR-related information;
• Prepare and submit reports to local authorities as required by law (ANOFM/ITM).
Reporting & analysis
• Provide HR key figures to meet internal and external requirements (e.g. staff turnover, leave of absence);
• Prepare FTE reports and analysis in line with HRM requirements;
• Deliver any other reports or analyses required by HRM and/or the CEO.
Systems, data & process
• Update organizational charts proactively and publish them on the local drive and intranet;
• Provide intranet/HRIS administrative support, including creating, modifying, issuing, and terminating records;
• Propose and create Standard Operating Procedures (SOPs) for all HR tasks.
Benefits administration
• Manage the meal ticket life cycle, from creating users to placing monthly orders and resolving any issues in the process;
• Administer subscriptions, including data quality and collection, monthly reporting, and quarterly calculation of reimbursements.
General & organizational
• Provide general HR support and contribute to HR projects;
• Perform assigned tasks to support the company in meeting its objectives and targets regarding quality, health, safety, and environment;
• Embrace sustainability and health and safety in day-to-day activities, helping to reduce environmental impact, support local communities, and reduce workplace incidents;
• Undertake any other task falling within the scope of the role as required by local law and/or corporate guidelines, and any other duties assigned by the Human Resources Director/Manager or the CEO.
