Candidate Profile
- A Bachelor's degree qualification is mandatory (Law or ASE/Business Administration)
- A minimum of 5 years of relevant experience in office management, executive assistance, or administrative coordination – preferably in an international or fast-paced environment.
- Languages: Proficiency in English, both written and spoken, at an advanced level, is mandatory. Native Romanian language is required. Knowledge of other foreign languages (French, German, etc.) is an advantage.
- Proficiency in Microsoft Office (Outlook, Word, Teams, PowerPoint, Excel) and familiar with digital collaboration tools.
- A structured, detail-oriented approach, with the ability to juggle multiple priorities and deadlines, being comfortable working under pressure.
- A positive, collaborative attitude with a strong service orientation.
- Exceptional organizational and multitasking abilities; proactive and solution-oriented.

- Manage the daily operations of the office, serving as the first point of contact for internal and external parties, maintaining a high level of satisfaction and ensuring the office is a friendly and pleasant place to be.
- Manage the company's document workflow and archiving in accordance with applicable procedures.
- Arrange business trips by liaising with travel agencies for flights, accommodation, and other necessary arrangements.
- Organize company events, team activities, and office activities, from meeting scheduling to event logistics.
- Provide proactive assistance to the Executive team, including calendar management, meeting coordination, travel arrangements, and expense reporting.
- Prepare reports, presentations, and internal documentation; ensure confidentiality and accuracy in all administrative tasks.
- Liaise with building management, handle maintenance requests, and ensure compliance with health and safety standards.
- Assist in vendor contracting and various supplier tendering processes.
- Act as a point of contact for internal communications, support company-wide initiatives, and help foster a collaborative and inclusive environment.
- Identify opportunities to streamline workflows, improve administrative systems, and enhance overall efficiency.Provide administrative support to relevant stakeholders based on request.
