Role Overview:

As an Invoice Data Entry Specialist, you will be the backbone of our Freight Invoice Audit processes. Your primary responsibility is to ensure the accuracy in registration of freight invoices by meticulously auditing freight invoices against our working instructions and tariffs. You will transform raw logistics data into clean, actionable information, ensuring that our client pays only what is owed while identifying opportunities for cost savings. You will work in a company-owned, web-based portal for various clients.
Required Qualifications & Skills
  • Time management: since responsibility lies with various clients requiring different levels of time commitment, it is necessary to be able to manage one's own time and workload effectively according to specific guidelines.
  • The "Eagle Eye": exceptional attention to detail; you enjoy finding the "needle in the haystack" when it comes to numerical errors.
  • Technical skills: proficiency in MS Office, especially Excel (pivot tables, VLOOKUP). Experience with email and web-based platforms; 8 hours of screen time per day is required.
  • Analytical Mindset: ability to interpret shipping details in different languages.
  • Communication: English (written and spoken), with the ability to present simple facts in clear and concise terms
  • Reliability: a disciplined approach to meet deadlines in a high-volume data environment.

Job Description

Key Responsibilities:
  • Document Linking: the first step in the freight audit. This is used to carry out customer allocation. The received invoices are assigned to specified invoice entities.
  • Header Capture: 10 legal invoice details are audited entered and the carrier is assigned. Invoices that cannot be assigned to a carrier, or for which the carrier has not yet been created, will be assigned to a replacement carrier called "CPD". Specified content is available in Header Capture workflow.
  • Legal Check: Duplicate Payment Protections - check for double billing takes place at different levels. Sepcified content is validated using the four-eye principle.
  • Detail Capture: the shipment data entry is carried out either manually or electronically using data records (e-files). A simplified entry such as standard for Credit Notes is done at invoice level as a Line Item. Specified content is available for shipment data registration.
The area of responsibility will extend to up to 7 different clients. Alongside other colleagues, who are usually only responsible for one or two clients, you will be deployed as floaters to serve clients with lower volumes and to fill gaps with larger clients.
