Ideal Candidate
We are looking for a detail-oriented and experienced HR Administration Specialist to join our team. In this role, you will manage HR administrative activities in compliance with company policies and Romanian labor and fiscal legislation, ensuring accurate employee data management and timely reporting.
The ideal candidate has strong knowledge of Romanian labor law and HR administrative processes and is comfortable managing the full employee lifecycle while ensuring compliance with internal policies and legal requirements.
Job Description
Key Responsibilities:
1. Personnel Administration:
• Prepare, update, and maintain employee records and personnel files in accordance with Romanian labor legislation and internal procedures.
• Manage employment contracts, addenda, job descriptions, suspensions, and termination documents.
• Update employee data in HR systems (Revisal, REGES Online, SAGA) and ensure compliance with legal deadlines.
• Ensure proper completion, archiving, and maintenance of all personnel documentation.
• Issue employment-related documents (certificates, confirmations, references, etc.).
• Track employee vacation balances and verify attendance records against approved leave requests.
• Ensure the confidentiality of employee data and compliance with GDPR regulations.
• Maintain the company’s HR documentation archive.
2. Payroll and Reporting:
• Collect and centralize all payroll-related information (timesheets, sick leave, vacation leave, salary changes, bonuses, allowances, etc.).
• Distribute payslips to employees without company email access.
• Administration of employee benefits (e.g., meal vouchers and other benefits).
• Centralize sick leave documentation.
• Prepare payroll-related reports requested by management, including monthly and quarterly group reporting files, as well as supporting data and documentation for ESG reporting requirements.
3. HR Processes and Employee Support:
• Support onboarding and offboarding processes, including documentation, system updates, and employee induction.
• Provide guidance to employees on HR policies, benefits, and internal procedures.
• Communicate HR updates and legislative changes to employees.
• Maintain relationships with external partners (occupational health providers, HSE service providers, meal voucher suppliers, training providers, payroll service providers etc.).
• Ensure employees complete mandatory medical examinations and occupational safety training.
• Assist with internal HR audits and contribute to continuous process improvement.
• Support the development and updating of HR procedures, internal regulations, and organizational documentation.
4. Additional Responsibilities:
• Maintain and update internal HR documentation (Internal Regulations, procedures, organizational charts).
• Prepare statistical reports for INS (monthly or quarterly).
• Support business travel and delegation processes.
• Assist in organizing internal events, team buildings, and engagement activities.
• Perform other HR-related tasks assigned by the direct manager.
Requirements:
• Education:
o High school diploma required.
o Bachelor’s degree in Economics, Human Resources, Business Administration, or
a related field is considered an advantage.
• Experience:
o Minimum 2 years of experience in HR administration, preferably in a similar role or within a multinational environment.
o Proven experience managing the full employment lifecycle (onboarding,
contract changes, offboarding).
• Technical Knowledge:
o Experience working with HR systems (SYMPA experience is a plus).
o Strong Microsoft Office skills (Excel, Word, PowerPoint, Outlook).
• Languages: English – advanced level (minimum C1).
• Soft Skills & Competencies:
