Administrative work is important to us. It helps us organize ourselves better, be more efficient, and track the progress of our activities. We are looking for a colleague who will work directly with the General Manager of Romania and with the management team in Japan.
The(se) position(ns) requires efficient communication between the team members and a high degree of confidentiality.

General Requirements:

Works with the General Manager assisting in his day-to-day operations, while also supports the development team in their time-to-time necessities.
Well organized, with clear, effective communication skills. A degree in Economic Field or Human resources field would be an advantage. English at least at a conversational level is mandatory. The desire to develop in the field of human resources is considered an advantage.

Specific Requirements:

Prepares, receives, verifies, archives, distributes internal and external documents, within the company and outside;
Liaises, negotiates, communicates with the company's suppliers in order to purchase the services and goods necessary for the optimal functioning of the activity;
Ensures protocol formalities at meetings, conferences and other events organized within the company;
Represents the company in relations with various partners and institutions at the request, delegation, and authorization of the general manager.

3. Job responsibilities:

Writing, centralizing and archiving internal documents and situations;
Managing correspondence (e-mail, telephone, official documents);
Liaising with partners, suppliers, clients and public institutions - if applicable;
Following deadlines set by top management and transmitting information to the organizational structures involved;
Supporting general administrative activities (centralizations, verifications, internal records);
Preparing minutes or summaries for certain meetings, when requested;
Providing support in implementing internal procedures and maintaining an efficient flow of information within the company.
Support for foreign employees in obtaining the documents necessary for their stay in Romania, in close collaboration with the Administrator.
