Position Requirements:
EXPERIENCE:
A minimum 2 years of administrative or office support experience. 1 year of supervisory experience.

JOB KNOWLEDGE:
A good knowledge of documentation, managing budgets and office operations; Knowledge of preparation and completion of forms/documents (both on paper and electronic); Knowledge of basic accounting procedures, Good working knowledge of Microsoft Office: Word processing, Excel..

EDUCATION:
2 years of College or University education required.

LANGUAGE:
Good working knowledge of English - speaking, reading and writing; Fluent level Romanian - speaking/reading/writing, may include the ability to translate. This may be tested.

SKILLS AND ABILITIES:
The candidate shall possess general computer skills and literacy, basic math, office management, and administrative skills. They must become proficient in Microsoft Office to include Outlook, Word, Excel, and Power Point. They candidate must be capable of learning while on the job, various Department of State information systems and tools.

Qualifications:
All applicants under consideration will be required to pass medical and security certifications.

Duties:
  • The Facility Management Operations Coordinator (FAC OPS Coord.) supports the Facility Manager (FM) and Facility Management Office by providing operational and administrative support on all facility management related functions including maintenance, repair, construction, budgetary, and safety for US Embassy, Bucharest. The position provides guidance and data driven process improvement to the entire Facility Management Section through he analyzing of information from a multitude of Department of State systems such as GMMS, RPA, SRMS and MyServices.
  • The position ensures that the Facility Management team is able to provide effective services Mission wide by providing section wide support and coordination. Under the direction of the Facilities Manager, the incumbent directly supervises the custodial services, maintains the revolving petty cash account fund, and serves as Customer service specialist, by working with the Work Order Clerk, the trades, and the landlords to verify effective completion of work orders.
  • The incumbent receives, reviews, and verifies invoices, translating them as needed, and reports time and attendance.
