For one of our clients, we are currently seeking an organized and proactive Office Manager to join our team on a 2 years fixed-term contract.
Responsibilities:
Office management:
Vendors relations – contracts, budgets, orders
Facility maintenance - overseeing cleaning/maintenance crews
Protocol and supplies recurring orders
Admin support for internal HR app
Admin support for accounting and finance, management of office budgeting/ spending.
Internal communication:
Daily interaction with the team
Recurring written communication
Admin support for new hires onboarding, occupational medicine, SSM and SU trainings.
Team events (conferences, teambuildings, parties, giveaways)
General support for planning, contracting, and invoicing.

Job Description
Core Competencies:
Organizational Systems: Mastery of office logistics, including vendor management, supply procurement, and facility maintenance.
Communication: High-level verbal and written skills for drafting internal memos, coordinating with executives, and serving as the point of contact for both internal and external contacts
Software Proficiency: Advanced knowledge of office suites (Google Workspace & Microsoft 365), basic accounting or HR software.
Problem-Solving: The ability to handle conflicting priorities and "firefight" daily operational issues with professionalism and enthusiasm.
Education & Experience:
Education: A Bachelor’s degree in Business Administration or a related field is desirable ; significant relevant experience can replace a degree
Experience: A minimimum of 5 years of experience in an administrative or supervisory role.
Soft Skills:
Discretion: Handling sensitive information regarding budgets and personnel; maintaining confidentiality is a non-negotiable requirement.
Diplomacy: Balancing the needs of different departments and managing personality dynamics within the office environment.
Adaptability: Being comfortable in a role with multiple responsibilities and overlapping projects
Time Management: Executing long-term projects while remaining available for immediate, walk-in requests.
