Office Commercial Assistant

Key Skills & Competencies

• Basic knowledge of accounting principles (entries, invoices, reconciliations).
• Sales.
• Strong organizational and multitasking skills; High attention to detail and accuracy.
• Excellent communication (written & verbal) in Romanian and English.
• Proficiency in MS Office (Excel, Outlook, Word); knowledge of an ERP (SAP / Navision / Business Central) is a plus.
• Ability to handle confidential information with discretion. Proactive, adaptable, and solution-oriented mindset.

Education & Experience

• Bachelor’s degree in accounting, Economics, or Business Administration.
• 1–3 years of experience in a similar administrative, accounting, or commercial role.
• Previous experience in a multinational or distribution company is an advantage.

1. Accounting & Finance Support

• Record and process invoices (suppliers, clients) in the accounting system.
• Weekly payment plan preparation; Maintain records of payments, receipts, and bank transactions.
• Check accuracy of supporting documents and ensure proper cost allocation.
• Support month-end closing activities and reconciliation of accounts. Manage petty cash and expense reports.
• Liaise with the external accounting firm or senior accountant for reporting and compliance.
• Environmental tax monthly declaration (with Recycle Agency)

2. Office Administration

• Ensure smooth operation of the office (supplies, utilities, courier, cleaning, etc.).
• Manage correspondence, scheduling, and filing systems (digital and paper).
• Support HR with onboarding of new employees (documents, medical check-up planning, mobiles; health insurance.
• Support in organizing internal meetings, travel arrangements, and company events.
• Act as point of contact for office vendors and service provider.

3. Commercial Assistance

• Coordinates database reports – sell-in/sell-out etc.
• Prepare simple sales and stock reports (Excel / ERP), recurrent & ad hoc.
• Ensures support and accuracy in management of trade conditions for clients, as well payments, compensation
• Provides support for financial processes in the months, years required by the company's deadlines
• Maintain updated records of customers and commercial agreements.
• Coordinate and manage 4Ps reports.
