To keep that growth clean, we need someone who becomes the operational backbone of our Managing Director across the region. You will be the person he relies on to navigate the CEE business landscape, keep our entities legally sound and well-documented, and make sure nothing falls through the cracks across six active markets. At the same time, you take real ownership of our offices and the people in them.

What You Bring
The skills that matter most:
- You can read employment contracts and administrative documents, communicate with authorities, and navigate the local business and legal landscape confidently. This is the single most important requirement for this role.
- Romanian — native or near-native.
- English — C1 or above.
- You understand what belongs in an employment contract, what compliance deadlines look like in a CEE context, and when to loop in a lawyer. You do not need a law degree — but you need to know the landscape well enough to protect the company and ask the right questions. Romanian labor law is the starting point; curiosity about how neighboring markets work is a real asset.
- Basic legal and HR compliance awareness.
- You notice when something does not add up in an invoice, a contract, or a filing — and you follow through until it is resolved.
- A sharp eye for detail in documents and numbers.
- Experience in an administrative, assistant, or office management role or a background that has given you a strong foundation in document handling, stakeholder coordination, and organization.
- You handle sensitive HR, financial, and legal documents. Reliability and confidentiality are non-negotiable.
A genuine advantage
- Polish, Croatian, Bulgarian, Hungarian, or Lithuanian. We already operate across all of these markets, and any working knowledge of a local language makes you more effective from day one.
- Additional CEE language skills
- German language skills — useful for coordinating with our Offices in Berlin and Bonn
- Experience working directly with external legal or accounting advisors across different jurisdictions.
- Curiosity about how different CEE markets work — regulatory environments, business culture, and local practices vary, and the ability to navigate them with local advisors is a genuine asset.
- You are thorough and organized — disorder is something you fix, not something you live with
- You work independently and follow through without reminders

What You’ll Do
Supporting the Managing Director (∼60%)
You are the direct right hand of our Managing Director, who oversees our CEE entities across six countries as a non-native speaker. You are his eyes and ears on the ground — and the reason he can trust that things are handled.

- You review and cross-check incoming invoices (including from transport providers), payroll summaries, and employment contracts across our CEE markets — flagging discrepancies before they become problems
- You maintain and organize all personnel files and company documents across our entities: identifying gaps, following up with accountants and external legal counsel in each country, and ensuring everything is complete and compliant
- You track HR and compliance deadlines across Romania, Poland, Croatia, Bulgaria, Hungary, and Lithuania — coordinating proactively with the MD so no obligation catches us off guard
- You serve as the interface between management and our network of external partners — lawyers, accountants, government offices across the region — drafting correspondence, coordinating follow-ups, and ensuring things move forward
- You support the remote management of entities where we do not have local management on the ground, coordinating with local advisors and keeping administrative operations on track
- You keep our internal knowledge base and company processes current across all markets, flagging where policies need updating or adapting to local requirements
- You run day-to-day operations in our Sibiu office: managing service providers (cleaning, landlord, internet), keeping supplies stocked, and ensuring the space is welcoming and always functional
- You manage our Gdańsk office remotely, coordinating with the local team to keep operations running smoothly without being on-site
- You handle incoming mail, document filing, and general office administration
- You maintain our internal HR tool and keep all employee data and records accurate and up to date across all six markets
