Ideal Candidate

PR Medical Events manages congress logistics, group accommodation, delegate management and compliance reporting for pharmaceutical companies attending international medical congresses. We have specialised in this since 2013, and clients come to us because the compliance framework is built into the work rather than checked afterwards. It is demanding, precise work, done to deadlines set outside our walls.

We are recruiting across that full lifecycle. Some people are drawn to the commercial side, finding the right properties, running the enquiry and securing terms that hold. Others prefer owning the client relationship and delivering the project. We are interested in both, and the balance of the role will follow the strengths of the person we appoint.

What does not vary is the standard. Deadlines in this industry are set externally and rarely move, so we need people who plan properly, take responsibility for their own work and raise concerns early rather than late.

What we are looking for

  • Precision. Accuracy matters more here than speed. You check your work before it leaves your desk.
  • Ownership. You see things through to completion and stay with a problem until it is genuinely resolved.
  • Initiative. You anticipate what needs doing and bring proposals, not only questions.
  • Commercial sense. You are comfortable comparing offers, questioning a price and asking for better terms without losing the relationship.
  • Teamwork. You share information openly, ask for help when you need it and say something early when a project is drifting.
  • Composure. Plans change at short notice in this business. We need calm judgement and clear communication when they do.
  • Written English. You will correspond directly with clients and suppliers worldwide, and your emails represent us.
  • Organisation. Several projects run at once, each at a different stage, and none can be left unattended.


Nice to have
Experience in events, travel, hospitality, hotel sales or congress services; a background in procurement, sourcing, reservations or account management; familiarity with the pharmaceutical sector; a further language beyond English and Romanian.

We are open on profile. An organised coordinator ready to step up, a hotel or agency professional moving across, or someone with two to four years in events, sourcing or hospitality logistics would all be considered.

Job Description

The role
You will work across the life of a project, from the initial client brief through sourcing and contracting, into delivery and final reconciliation. Depending on your experience and where your strengths lie, you may concentrate on the sourcing and supplier side, on client project delivery, or hold both for a defined group of accounts.

Sourcing & supplier side

  • Sourcing and enquiries. Research destinations and properties, issue enquiries to hotels, DMCs and congress housing bureaus, and compare offers on price, terms and suitability.
  • Negotiation and contracting. Secure room blocks and event space on favourable commercial terms, review contracts carefully and confirm every arrangement in writing before it is relied upon.
  • Supplier relationships. Build working relationships with suppliers worldwide, brief them properly and hold them to what was promised.
  • Market intelligence. Keep track of congress dates, destinations, rate patterns and availability, so that our clients receive informed recommendations rather than guesses.


Client & delivery side

  • Project ownership. Act as the client's main point of contact and hold a clear picture of every open item across your portfolio.
  • Delegate management. Registrations, accommodation, transfers and rooming lists for groups of healthcare professionals, frequently across several hotels and subject to change until arrival.
  • Budgets and reconciliation. Monitor costs against forecast and prepare final reconciliations that stand up to scrutiny.
  • Compliance. Every arrangement must stand up to the codes governing pharmaceutical interaction with healthcare professionals, including EFPIA, ABPI and PhRMA, and to transfer of value reporting. This is the specialist knowledge that sets our work apart, and we will train you in it properly.
  • On-site delivery. Occasional travel abroad to run events in person and resolve issues as they arise, alongside industry trade shows and supplier site inspections.


Location & Office
Our office is centrally located in the heart of Iași: a 2-minute walk from the Metropolitan Cathedral (Mitropolie), the National Theatre and Iași City Hall (Primăria Iași), and a 6-minute walk from Palas Mall.

Compensation & Benefits

  • Monthly Salary Package: A competitive fixed monthly net salary plus meal vouchers.
  • Performance Bonus: After an initial six-month period, you become eligible for a monthly performance bonus based on agreed KPIs. The bonus grows as you take on more responsibility, and we award one-off bonuses for exceptional work outside the KPI framework. The first six months are for learning the work properly.
  • Seasonal Bonuses: Additional bonuses for 8th March (Women's Day), Easter and Christmas.
  • Annual Leave: Statutory annual leave, plus your birthday off, plus one additional day for every year you stay with us. By your fifth year that is a full working week more than you started with.
  • Flexibility: We work from the office, which is where the team functions best. When something unavoidable comes up, we are reasonable about it.
  • Travel Perks: Reduced rates on personal holidays through our hotel partner network.


Working Hours: Monday to Friday, 09:00 to 17:30 (7.5 working hours and a 1-hour lunch break).

Our services cover venue finding and sourcing, delegate management, and the organisation of meetings and incentive programmes.
