Purpose of the Job

Provide a comprehensive financial and administrative service.

Main Duties and Responsibilities



1 Understand, anticipate, and deliver customer (internal and external) needs while building effective relationships.

2 Positively respond to both our internal and external customers through effective communication and personal accessibility, while optimising contract performance.

3 Understand procedures and processes and operate them to the required standard encouraging best practice. Provide knowledge and understanding to coach and support others with less experience through training of our operations and financial systems:


Examples of these are:

a) Ensuring compliance to policies and procedures.
b) Ensuring that sales invoices are raised in a correct and timely manner.
c) Ensuring that Extra Works jobs are raised, billed and closed in a timely manner at the correct gross margin.
d) Raising purchase orders in line with company requirements.
e) Assisting the Contract Manager in the management of WIP and debt.
f) Understanding the contract, including scope and terms & conditions.
g) Assisting the Contract Manager in ensuring compliance with Health & Safety requirements, including H&S reporting (e.g. Hazard Reporting) and promoting a safe working environment.
h) Management of helpdesk and asset management systems (e.g. Archibus, Concept, Maximo)
i) Maintaining on site personnel records including training matrixes, holiday and sickness records and timesheets
j) Assist with monthly Client reporting
k) Working with the contract manager to help improve the financial standards of the contract that are measured against monthly key performance indicators

5 Perform with an understanding of business requirements and changes, and ensuring continuous improvement.

6 Actively participate in a diverse and effective team.

7 Convey messages and ideas clearly and openly. Involve people and influence decisions

PERSON SPECIFICATION


Education
The successful person will hold a University degree or equivalent.


Training
[Essential]
Good PC based skills, with experience in Word/Excel and Outlook – intermediate to advance level.

Experience
[Desirable]
1-3 years experience in a similar role with managerial experience.
Previous experience of a customer-facing role using operating systems such as Dynamics AX or Concept software.
Some financial / accounting experience would be an advantage.

Excellent verbal and good basic standard of written, communication skills.
