Office Manager Chrono Flex Romania (Bucharest Based Piata Presei)

Chrono Flex is a company specialised in repairing hydraulic hoses on site, for customers in all types of business sectors.
As Chrono Flex Office Manager, you will be responsible for the efficient day-to-day functioning of the company’s administrative operations, in relation to finance, HR, customer management and employee’s logistics; reporting to the Country Development Manager. The role is often the front line with clients and a strong “customer service” approach is very important to the role. The newly opened office in Bucharest will be the base for expanding the business in Romania and creating a strong mobile on-site hydraulic hose repair service team.

Skills and Qualifications:
  • Strong interpersonal skills.
  • Financial management and bookkeeping experience.
  • Strong IT skills: MS Office, SharePoint, CRM, websites, social media.
  • Strong focus on delivering detailed work and proactive solutions with accuracy and reliability.
  • Capacity to work independently as well as in a small team.
  • Effective time management: ability to organize and (re)prioritize tasks.
  • Flexibility and initiative in a rapidly changing environment, willingness to propose improvements in ways of working.
  • Fluency in English, with a working knowledge of French (is an asset).

Key responsibilities:
  • Manage finances: process in and out invoicing and payments, monitor office budget, maintain financial records and liaise with external accountant; produce financial reports for meetings.
  • Manage the CRM used by the sales and technical team, give access and grant permissions to users.
  • Be a point of contact for general enquiries; handle incoming/ outgoing general emails and calls.
  • Manage client’s requests, building and preserving trusted relationships with our clients, addressing clients’ needs quickly and effectively.
  • Provide communication and marketing support: update the company’s website, social media, prepare presentations, and monitor digital communication performance.
  • Practical organisation of meetings and events, including travel logistics.
  • Provide general administrative support for the team, incl. filing, correspondence, office supplies, HR, mobile phone, maintaining our databases and mass-mailing systems.
  • Assist in the on boarding process of new hires: create their accounts, help them navigate our IT systems and work procedures.
  • Manages supplies and suppliers, being responsible for contracts and services delivered as per contract.
  • Offer administrative support on health and safety topics; manage the orders for health and safety equipment.
  • Conduct customer satisfaction surveys.
