Candidatul Ideal

• Minimum 3-4 years working experience as an executive assistant, personal assistant, office manager, assistant manager or similar role;
• Professional and proactive attitude;
• Excellent organizational skills and attention to detail;
• Excellent knowledge of MS Office tools and experience in working with social media platforms is appreciated (LinkedIn, Facebook etc.);
• Bachelor's degree in business administration or a related field;
• Advanced level of English (French is a plus);

We are looking for a resourceful, hands-on professional, to be a real support to our local team, to facilitate the flow of information within the company and be adaptable to evolving workplace dynamics.
As an Office Manager, you will be a central pillar of our office's daily administrative activities, being responsible for maintaining an efficient and organized atmosphere within the office.

Specific secretarial and administrative activities: Manage telephone calls; register and distribute internally received emails and documents; welcoming guests to our office; assist in the onboarding process for new hires; resolve various daily administrative situations and maintain an efficient and harmonious working environment;
Managing the CEO's agenda: Establish the daily schedule of activities together with the CEO - scheduling meetings, rescheduling & communicating changes to those involved; prepare presentations etc.;
Office meetings coordination: Organize and coordinate meetings and appointments, internal and external delegations; write meeting minutes, summaries, reports;
Business Travel management: Manage travel requests, including booking airline tickets, arranging hotel accommodation; prepare the travel expense reports for senior staff;
Headquarters maintenance: Coordinate with the office building maintenance team to ensure a suitable working environment and efficient resolution of any facility-related matters; manage the relationship with suppliers and ensure that the office is well-stocked with necessary supplies, from stationery to pantry items;
Other activities: Active involvement in internal company projects; organize ocassional internal events (such as Xmas party, sales/management conferences); proactive attitude and support whenever necessary for the smooth running of the office activity.
