Office Assistant

​About the role


​We are seeking a proactive and efficient Office Assistant to join our team. This role is integral to ensuring the smooth operation of our office environment. The ideal candidate will oversee various responsibilities including floor management, supplies management, event planning, administrative support, general office duties, health and safety, and ESG initiatives.

Responsibilities:

1. Floor Management:
  • Oversee the smooth daily operations of each floor
  • Coordinate suppliers and other departments to intervene and fix if any issues arise

2. Supplies Management:
  • Order and manage weekly supplies for fruits and breakfast.
  • Maintain relationships with local suppliers to ensure timely delivery of fresh products.
  • Keep track of inventory and manage stock levels.
  • Keeping an inventory of office supplies and ordering new materials as needed.

3. Event Planning:
  • Organize internal engagement events to boost employee morale.
  • Plan and coordinate visits and agendas for external guests.
  • Assist in organizing and managing external events such as job fairs and networking events.
  • Scheduling meetings and sending meeting invites to attendees for company-wide events.

4. HR & Administrative Support:
  • Provide administrative support to ensure efficient office operations.
  • Manage schedules, appointments, and meetings for senior staff.
  • Handle incoming and outgoing correspondence and communications.
  • Maintaining files and support HR Admin actions and tasks

5. General Duties:
  • Assist with office tasks and projects as needed.
  • Maintain office equipment and supplies.
  • Address any office-related issues or concerns promptly.
  • Ensuring the office runs smoothly.
  • Welcoming visitors to the office.

6. Health and Safety Responsibilities:
  • Lead the relationship with the Health & Safety (H&S) Supplier.
  • Organize fire drills regularly.
  • Send fire extinguishers for checkups.
  • Lead the Health and Safety quarterly committee and ensure actions are recorded and delivered.

7. ESG (Environmental, Social, and Governance) Responsibilities:
  • Identify and lead green actions to promote sustainability within the office.
  • Keep track of carbon usage and implement strategies to reduce the office’s carbon footprint.
  • Organize charity events and volunteering days to engage employees and support the community.
