Role Overview

We are a growing International Fintech organization looking for an Office Assistant to join our dynamic team of over 180 employees in Cluj. The successful candidate will fulfill an exciting and challenging role in overseeing the smooth day-to-day operations of our office, located over three floors, on facility and vendor management, visitors and travel requirements.

The Office Assistant will be the first point of contact to greet all Itiviti visitors therefore strongly contributing to the image of the company. Ensuring high quality interactions with visitors and employees and will also facilitate negotiations with third party vendors.

You will be part of a creative and proactive Office Management team, reporting directly into the Office Manager.

  • Manage the front desk and act as the Itiviti local host for visitors (candidates, visiting staff,
  • suppliers)
  • Answer the switchboard, screen and forward incoming phone calls
  • Receive and sort daily mail/deliveries/couriers
  • Provide general administrative support (ensure files up to date / filing…)
  • Ensure office supplies and other necessary items are in stock
  • Ensure that all invoices are received and scanned
  • Manage local meeting rooms and organise meetings when necessary
  • Book travel for local staff and occasionally for visiting staff (flights, trains, hotels, visa...)
  • Offer support to Office Manager on office building and maintenance issues
  • Assist with organisation of social and company events
  • Assist with organising the Health and Safety sessions, medical examinations and drills
