The Facility Specialist will provide administrative support for everything necessary to keep our office of 260+ employees up and running. This includes managing general facility maintenance; offering support in refurbishment projects; assuring a safe working environment for our employees and visitors; being the liaison between business and office building. Acts as a communication facilitator between employees and management team and promotes the open attitude the management team has already set.
We are looking for someone who takes pride in our office space, enjoys handling a multitude of tasks and requests in Facility, Procurement, Health&Safety&Security and Administration to ensure a well-run business and frequent communication with suppliers, managers and employees in an international environment.

Facility management:

• Identify issues of concern in building operations, develop proposals for redress and implement as appropriate
• Troubleshoot appliances, electrical, plumbing, HVAC and other systems and building issues
• Develop and execute repair plans, or supervise vendors if required
• Coordinate with maintenance team and vendors to supervise and monitor HVAC, plumbing, appliance maintenance, electrical and other services
• Plan basic building repairs, miscellaneous jobs and handyman work as needed; replace light bulbs and performs other regular maintenance as needed
• Order necessary supplies, materials and equipment to perform various repairs and maintenance work
• Maintain inventory related to electronic access, equipment and supplies
• Assure all aspects of a safe working environment for employees and customers
• Establish, implement, and communicate various procedures in Health & Safety & Security
• Seek customer/user feedback to prevent reoccurrence of issue in the future
• Review and identify deficiencies in existing policies and procedures; recommends modifications/enhancements
• Daily walks through the office to ensure a great environment for our colleagues and visitors
• Use Service Now platform to register and solves facility related incidents
• Offer support in refurbishment projects
• Handle any other administrative related task

Office access:

• Access cards: checking the stock; ordering access cards, requesting special access for employees if needed: server room, IT storage and storage room
• Access codes: keeping record with the access codes for the alarm system Occupational Safety and Health Administration Representative:
• Ensure that the appropriate/mandatory safety rules are followed in the workplace
• Update the company’s safety plan as needed, keep the employees informed about changes, keeping OSHA standards safety activities and reports up to date
• Accident prevention through intervention and education, dealing with local safety issues Support for Events:
• Ensure all needed for internal events to create a good experience for colleagues or visitors
• Help setting up meeting rooms and WorkCafé for events

Office supplies:

• Manage office supplies system and ensure stocks are full
• Validate the needs for supplies and manage alternative options and orders
• Work with on-line solutions to help selecting new suppliers and release orders

Reception:

• Receive incoming couriers, sign for reception and inform receiver to pick up the mail
• Welcome guests and candidates

Correspondence:
• Handle incoming and outgoing post mail for BC Cluj
