Candidatul ideal

a) English is a must.
b) Excellent customer service skills and verbal communication skills.

k) Ability to assign appropriate level of urgency to specific situations, especially relative to action requests generate by upper management.

Responsibilities:

1) Reception, Switchboard, Visit spaces, and Scanning

a) Maintain professional appearance of reception desk and lobby area.
b) Open the reception area and switchboard promptly at designated opening time and secure the switchboard and reception area after closing time.
c) Understand and follow office security procedures.
d) Answer and direct all calls in an efficient, accurate, professional and pleasant manner - Welcome message for answering the phone: “Buna ziua, numele meu este ……, cu ce va pot ajuta? / Good morning (afternoon, evening) …… speaking, how may I help you?”
e) Greet and assist all visitors – if the case, accompany to a meeting room in the reception area and offering them water, coffee, tea, etc;
f) Maintain company visitor sign in book. - If a visitor should go to another floor or outside the reception area, the GE employee should come to the reception sign the register and take the visitor
g) Maintain and distribute visitor security badges in accordance with security policies. Track and provide end of month counts
h) Report all telecommunication and data system problems to the IT Department and Office Manager immediately.
i) Document front desk procedures.
j) Coordinate visitor transportation requirements, such as calling for a cab, limo, etc.
k) Notify recipients upon receipt of faxes and deliveries.
l) Perform other administrative support duties as required by the department or office.

2) Facilities

a) Update interoffice phone list and publish to office employees on a monthly basis.
b) Ensure all equipment in the reception area is operational; coordinate repairs as required.
c) Ensure AV portable equipment is functional; coordinate repairs as required.
d) Provide backup for other facility personnel as needed.
e) Resolve or coordinate resolution for all facilities requests, such as temperature complaints, conference scheduling conflicts, etc.
f) Prepare and distribute office send mails
g) Maintain Facilities Receptionist in box accounts

3) Mail services

a) Sort and distribute all incoming and interoffice mail and deliveries, including preparing and sending mail. Track metrics
b) Receive the company’s mail and fax documents, the incoming mail, invoices, the newspapers, register (to the appropriate register for each document) and distribute them on departments or employees.
c) Ensure that urgent and important documents are delivered in proper time.
d) Prepare, meter and send all outgoing mail.
e) Verify mail and/or packages being shipped are not personal items.
f) Verify receipt of all deliveries prior to signing vendor delivery tickets/logs.
g) Maintain accurate mail distribution records; package recipients need to sign for deliveries.
h) Keep accurate log of deliveries for review by Office Manager
i) Secure all deliveries as required.
j) Maintain adequate records and logs as defined by manager.
k) Maintain adequate inventory of general office supplies including supplies for office equipment.

4) Safety & Security

a) Maintain file of emergency contacts.
b) Participate in the execution of one time yearly office emergency evacuation.

5) Problem solving

a) Prioritize conflicting responsibilities and schedules.
b) Report problems as required.
c) Communicate as required to the necessary parties involved.
d) In the event of a facilities emergency provide assistance as directed to achieve timely resolution.
e) Communicate closure of an issue to one’s own manager as well as the requester.

6) Reporting

a) Report immediately any issue or incident to the Office Manager
b) Submit monthly status report to the Office Manager
