· Computer Literate: Knowledge of email systems, Windows Software (Word, Excel, PowerPoint); Internet Explorer. The ability to learn and work with new Software and applications;

· Experience: previous Reception/Secretarial/Administrative experience required;

RESPONSABILITATI / BENEFICII:
Responsibilities:
Providing efficient reception and clerical services and performing routine secretarial work. Responsible for the day to day facilities management (working space, training rooms, travel arrangements, organization of meetings) and stock control (water, coffee, office supplies).
· Answering calls in a professional manner and distributing to the relevant recipients;
· Allocating meeting rooms for external and internal meetings. Setting up of meeting rooms when required;
· Providing a courteous and professional “welcome” to visitors and directing them accordingly;
· Ensuring there is a smooth co-ordination between all external based activities that is required to be relayed internally;
· Responsible for ordering all National and International courier & taxi requirements;
· Ordering any in-house catering requirements for lunch meetings;
· Responsible for checking deliveries and invoices for all items ordered;
· Offer secretarial and administrative assistance;
· Create a positive, pro-active demeanor and maintain confidentiality of all sensitive and confidential issues;
· Assembles and analyzes fairly complex information or data;
· Opening, sorting and distributing mail. Types correspondence, address labels, etc;
· Describes results in a written report if required;
· Copies, distributes documents per requirement;
· Operates office machines: photocopy machine, scanner, fax, printers etc.;
· Manages and maintains executive's schedules;
· Prepares invoices, reports, memos, letters and other documents, using Ø word processing, spreadsheet, database, or presentation software.
